The
Clairemont Bobby Sox Executive Board Meeting was called to order by
John Preovolos, President, at 7:10 PM on Tuesday, April 30, 2002, in
Room 204 at the Clairemont Covenant Church. Those in attendance were
John Preovolos; David Coppa, Vice President; Judy
Harpur, Secretary; Olivia Rodriguez, Player Agent; Karin Felkins, Safety
Dir.; Sina Balke, Mini Sox Director; Donna Montag, 1A Rep; Leilani Evans,
2A Rep; Harriet Preovolos, 4A Rep; Paul Smith,
Umpire-in-Chief; Leon Chartier, Snack Bar Chair.
MINUTES
The minutes from the March board meeting were read. Harriet made a motion
to approve with corrections. Karin seconded. Motion carried.
TREASURER'S
REPORT - None.
PRESIDENT'S
REPORT
Matching
Funds - Storage boxes in for batting cages. Old ice machine "dead,"
Karin motioned to reinstate matching funds to replace it, $1629., Olivia
seconded. Motion carried. Tournament Hosting - Chula Vista, Clairemont
will host 2002 All-Stars; LCS tourney - we can decide later if we want
to host.
VICE
PRESIDENT'S REPORT - None.
PLAYER
AGENT'S REPORT - 1A full, all other divisions open. Keils donated
food for Ma & Pa Tourney. League will collect $1. for ea. ball hit
out of park.
UMPIRE-in-CHIEF
REPORT - Everybody's happy!

Fields
- Need chalk soon, $150.
Snack bar - Everything is good!
Uniforms - Needed for Mem.Day, Olivia knows someone
who is willing to work w/us. Managers will get
together and order.

Janke Memorial Fund - need closure, John will talk to Jane Gentry.
Candy ordering - need final count! - Olivia will get it to John
by May 1.

Tourney to pay reg. fees for All Star teams, Judy

Paul has met with 1A managers re: variations in rules
for 1A only - will print up rules, put on back of rule
book; willing to meet w/ other mgrs. on Wed, 3/13 @
5:30 / 2A, 5:50 / 3A,4A.

Sponsorship
- Volunteer did not come forward so Olivia
made phone calls and will pick up a number of checks
from sponsors.
Equipment - The order is in.
Website - Input needed by this weekend for book.
Division Representatives - re:4A & 3A - rule for run
limits to be: 4 runs/inning for first 3 innings; due
to small numbers in 4A div., no "out" to be recorded
if a 9th player is missing. Judy motioned to accept
both items, Karin seconded. Motion carried.
re: innings w/ no "outs" - 1 "out" goes to 1st
pitcher, 2 go to 2nd pitcher. Margaret motioned to
accept, Harriet seconded. Motion carried.
Board
members monitoring games - Olivia suggested
assigning 12 voting members on Saturdays, 5 elected
members on weekdays.
Pitching clinics - Harriet said that Michelle (pitching
coach) requested a maximum of 10 students per
division.

February 4, 2002
This
supplemental meeting was called to order by John Preovolos, President,
@ 7:00 PM on Monday, February 4, 2002, in Room 204 at the Clairemont
Covenant Church. Those in attendance were John Preovolos; David Coppa,
VP; Judy Harpur, Secty; Margaret Wood, Treas; and Olivia Rodriguez,

FLAG PATCHES - Karin motioned to order 200 @
$1.00 apiece for tournament teams and staff, not for regular-season
uniforms.
STAFF
SHIRTS - Margaret motioned to order t-shirts rather than polo shirts
for coaches/mgrs/chaperones who will be responsible to pay for their
own shirts in their team's color @ a maximum cost of $10. each (our
cost). Karin seconded. Motion carried.
UMPIRE-in-CHIEF
- after discussion of candidates, nominations & voting chose Paul
Smith for this year.
TREAT
TICKETS - Karin motioned to raise treat ticket price to $.75/ea.,
12 for $9.00 (no discount). David seconded. Motion carried.
UMPIRE
BILLING FEES - Margaret motioned that we set aside up to $150 for
Dick Lord's billing fees. David seconded. Motion carried.

REPORT - $70 in income from
registration. John handed out preliminary season
budget.

Insurance Claims - Two cases of people being hit by
balls (a player and an elderly man) have been turned
into insurance company by John.

PRESIDENT'S REPORT
Fliers to be dropped off to elementary schools.
PLAYER
AGENT'S REPORT - Three registrations have been
received so far.

Fields
- Light in batting cages to cost $200 in
materials; we still need electrician to do wiring.
Equipment - Coordinator needed!!! Most immediately,
we need to collect bags, equip. from winter ball
teams.
Uniforms - David motioned for Liz Lee to be uniform
chairperson, Margaret seconded. Motion carried.
Snack Bar - None
WebSite - per John, looks good, 29 girls have signed
up.
Managers'
Binders for 2002 - Harriet Preovolos still
working on updating.
Staff Background Checks - David motioned to enforce
background checks on all volunteers, Olivia seconded.
Motion carried.
Proposal for No Standings/Year-End Tournament - After lengthy
discussion, Dave motioned to accept proposal,
Olivia seconded. Margaret opposed. Motion carried.
Budget
- See attached draft with changes for 2002.
Matching Funds - Ice machine, equipment box - John to
gather quotes.
Registration Fees for Board Members - David motioned
to waive registration fees for the following board
member positions: Uniforms, Snack Bar, Fields. Olivia
seconded. Motion carried.
Labeled Shirts for Board Members - Olivia motioned to
purchase so that board members could be visible at
games and events, Dave seconded. Motion carried.
Draw Night - Jan. 31, 2002, Thursday.

- Flooding on Field 1, request has been sent to
city for repair. City has ordered banners to be
removed from upper fences within 2 weeks.
Equipment - Coordinator needed!!! John will price
catchers' gloves for upper 2 divisions.
Uniforms - Klempman's will coordinate.
Snack Bar - Chartier's will chair.
WebSite - Registration forms still being revised.
Nationals
Tournaments Funds for Umpires -No
reimbursement forthcoming for our extra payment to our
umpire. We will plan differently next year. League
will reimburse John and Margaret ($200).
Rekeying Old Locks - revised estimate = $350. David
motioned to approve, Olivia seconded. Motion
carried.
Staff Background Checks - John will draft flier w/
info for each staff member to obtain his/her own,
mandatory background check.
Registration
Fee Structure - Judy motioned to raise
fees from $70. to $75. for 1A thru 4A and from $60. to
$65 for Mini Sox, with a $5.00 discount for
registering by Dec. 31st. Sibling discount = $10. per
child. Olivia seconded. Motion carried.
Budget Issues - League will pay the $15.- per -person
staff registration fee.
Buddy System - Not for All Stars or for daughters of
managers and coaches.

Matching
Funds Projects - Postponed until January,
2002, submission deadline.
Nationals Tourney Umpire Funds - John will call
Nationals to ask them to cover some costs for umpire
that we brought (Darryl) and they used for several
games in which our teams did not play in the All Star
Tourney.
Re-keying All Field Locks - Margaret motioned to rekey
all locks up to a $300. maximum. Olivia seconded.
Motion carried.
Budget Issues - Discussion about disproportionately
large sums spent on tournament costs for relatively
few girls. (See attached Tournament Cost Summary.)
Judy motioned that the League pay only for
registration fees and trophies for the District and
Nationals All Star Tournaments; all others paid for by
individual teams. David seconded. Motion carried.
Further discussion ensued about the need to advise
everyone ASAP of the new All Star budget guidelines
and to investigate less expensive All Stars awards, e.
g., medals.
